This Privacy Policy of SigNEX and its software describes how Authnex Technologies (Private) Limited collects, uses, stores, or otherwise processes personal information about clients who use our mobile applications, websites, APIs, products, or services. By using our services, you understand that we will collect and use your personal information provided by clients as described in this Privacy Policy.
Please note that, to use our services and its software, you authorize SigNEX to collect and record your information, such as names, mobile numbers, devices you use, and locations you were in when digitally signing. This proves the validity of the digital signing process, which is our core functionality.
Information We Collect
If you do not choose to provide us with certain personal information, you will not be able to use SigNEX and its software. The categories of personal information you may provide include:
- Identifiers: Includes National Identity Card (NIC), name, address, profile picture, and signature.
- Contact Information: Email address and mobile number.
- Geo-location: Physical location. Please note that geo-location is mandatory for the digitally signing process.
- Other: Occupation, employer.
Categories of personal information we may automatically collect are:
- Device Information: Unique device identifiers, device attributes, browser type.
- Subscription Information: Client ID, serial number.
Collection and Use of Profile Pictures (Face Data)
Collection and Usage
Our application allows users to optionally upload a profile picture. If the uploaded image contains a face, we classify this as "Face Data". We collect and store this data solely for the purpose of displaying a visual avatar across the SigNEX platform (e.g., to identify you during digital signing workflows).
We process the image strictly as a standard image file, regardless of whether it contains a face or not. We do not use this data for facial recognition, biometric extraction, tracking, or any other analytical purposes.
Third-Party Sharing
We do not share, sell, or disclose your profile pictures or face data with any third parties, third-party libraries, or external partners.
Storage and Retention
Face data is securely stored on our servers and is not retained indefinitely. We retain your profile picture only for as long as your account and the client subscription remain active, or until you choose to delete or update the image yourself.
This timeframe is necessary to ensure your avatar is consistently displayed while you use our services. Upon account deletion or subscription termination, your profile picture and associated face data are permanently and securely deleted from our servers.
How We Share Your Information
We will only share your personal information where permitted to do so by law and we hereby attest that we will take appropriate steps to ensure that your personal information continues to be protected.
As explicitly stated above, profile pictures and face data are never shared with third parties.
Data Security
We consider it our utmost responsibility to protect your personal information. Hence, we work hard to make sure your personal information is secure and we have employed administrative, technical, and physical security measures such as encryption, multi-factor authentication, and proprietary controls.
We do not store passwords of the users of our client subscriptions. Password authentication is performed securely against the user repository of the client.
While we store workflow documents securely, using our mobile application and website, you can download and share individual documents.
Data Retention
When you create an account with the SigNEX platform, we make sure we keep your personal and other information until the client subscription is active.
Depending on the agreement with the client subscription, we may delete your personal information upon termination.
